10 THINGS YOUR DAY OF COORDINATOR DOES (BEFORE THE WEDDING)

Having (at a minimum) a day of wedding coordinator is so incredibly important in order to manage all the behind the scenes logistics and little hiccups that take place on your wedding day. Despite being referred to as DAY OF, a day of coordinators job actually starts anywhere from 1-2 months before the big day.

During the final 30 day countdown, we manage all vendor communication to ensure a smooth and seamless execution of your festivities. (DONT HAVE A DAY OF PLANNER, SWIPE OUR TO-DO LIST)

  1. Communicate final head counts — your venue, caterer, rental company, etc. will all need your final counts & your vendor numbers as well

  2. Confirm vendor arrival dates, times, & locations - your HAMU team might arrive at a hotel in the morning, but your officiant needs to arrive at the ceremony location & your live band at the reception location PLUS they’ll need unloading & parking instructions

  3. Confirm number of vendors — knowing how many stylists you have for hair/makeup effects when you will be ready for photos, the number of photographers effects how long you’ll need for photos, etc.

  4. Confirm your vendors equipment, set up & power needs - do you need extra speakers for an outdoor cocktail hour? Does your Photo Booth require power access? Do your ceremony musicians need chairs?

  5. Ensure you re-read your contracts — did you buy candles for your tables, but your venues contract says you can’t have them? Reviewing your contract might adjust your wedding day decor or plans.

  6. Confirm duration of vendor services — your timeline can (& probably will) shift & you might need to extend service time based on your final timeline details

  7. Confirm vendor breakdown details — is your florist coming back to pick up their rental items or are you responsible for those things? Does your marquee vendor know what time they have to pick up & be off property?

  8. Confirm the correct quantities on your orders — do you have the correct number of desserts ordered? did you add tables on the floor plan & need to adjust your floral centerpieces & linens?

  9. Final event details for your vendors - from your final song and photo list to your final hair/makeup schedule & cake inspo selection to your final menu & bar selections

  10. Final vendor payments — did you adjust quantities, extend services, or have a final payment due? You’ll need to ensure all payments are taken care of.

BONUS

  1. Send off your official timeline — in order for your wedding party, family & most importantly your vendors to know what is happening and when, you’ll need to send all of them your final itinerary
