How Much Does a Day of Wedding Coordinator Cost? A Toronto Planner Breaks It Down

In Toronto, Hamilton, and Niagara, most day of wedding coordinators charge somewhere between $1,000 and $3,500. You'll find some as low as $600, and some above $3,500.

I'm Maleila, Owner and Principal Planner at Day of Wedding Coordinator. We've been in the wedding industry for over 10 years, and day of coordination is what we specialize in. Our package is $2,499 plus HST, which puts us in the middle to upper middle of the market.

But the number on its own doesn't tell you much. Here's what's actually behind the price, what can change it, and how to decide what's worth paying for.

Why Day of Coordinator Prices Vary So Much

There's a range for a reason. Every coordinator plays in a different bracket, and the price usually reflects experience.

  • Around $600: Often someone doing this for the first or second time, or occasionally on the side, with much less experience.

  • $1,000 to $3,000: The typical range for established coordinators, depending on experience, team size, and what's included.

  • $3,000 and up: The higher end of the market.

After more than a decade of doing this, we have a strong grip on how much time each wedding actually requires. Our pricing reflects that.

What You're Actually Paying For

Most couples picture a coordinator showing up on the wedding day. That's only part of it. A huge portion of the work happens in the months before, and it's the part couples rarely see.

The Behind the Scenes Work

  • Reaching out to every one of your vendors to confirm the terms of their services and their arrival times

  • Sharing your timeline with each vendor and answering their questions

  • Sorting out parking, loading, and unloading details

  • Going back and forth with you on what you want and don't want

  • Building, cleaning up, and formatting all of your wedding day files so they match every conversation we've had with each vendor

  • All the unscheduled texts and calls that come in along the way

The Meetings and Run Up to the Day

Our service begins two months before your wedding. In that time, we hold at least three meetings with you, complete a site visit, and run your rehearsal.

The Wedding Day Itself

On the day, our team spends about 12 hours on site, managing everything from setup to takedown.

When you add it all up, $2,499 isn't paying for a single day. It's paying for two months of planning, coordination, and a team that knows your wedding inside and out.

The Real Risk of Choosing the Cheapest Option

We've seen this play out more than once with coordinators found through Facebook Marketplace or Kijiji. Often these are people doing it on the side, with no real website, no industry reputation, and nothing much to lose.

Couples have come to us after the person they originally hired:

  • Stopped responding

  • Disappeared entirely

  • Made them lose trust in their methods and experience

Everyone is free to charge what they want for their services, and I truly respect that. But in these situations, you often get what you pay for. You're paying for inexperience, and taking a risk on someone who hasn't been tried and true.

What Can Change the Price of a Day of Coordinator

A few factors can affect what you'll pay, with us or any coordinator.

Travel

If your wedding requires your coordinator to travel outside their usual area, expect that to be reflected in the price.

Estate and Home Weddings

Many planners charge more for home or estate weddings, and for good reason. Instead of a traditional venue, your coordinator is essentially helping build one from scratch. They're creating the ceremony and reception spaces, and coordinating tents, tables, chairs, and many more vendors than usual.

Guest Count

Larger weddings take more hands. At DOWC, any wedding over 200 guests requires an additional associate planner. That's over 200 place cards, over 200 candles, and more than 20 tables of decor to place. Couples planning a large wedding should budget for that extra support.

Flat Rate vs. Hourly Coordinators

Some coordinators charge hourly, and if that works for them, that's great. DOWC charges a flat, all inclusive rate.

We chose that intentionally. Everything you might need is bundled together, so you can use us to the fullest without watching the clock or worrying about extra charges.

Can You Negotiate a Coordinator's Price?

Sometimes couples ask for a discount or want to remove parts of the package to lower the price. We typically don't allow this, because each piece exists for a reason.

For example, we require at least three meetings because, in our experience, that's how many touch points it takes to fully understand your wedding, your expectations, and what we need to deliver.

We know budget matters. We're not for everyone, and if we're not the right fit, we genuinely encourage couples to find someone who is.

How Payment Works

At DOWC, the structure is simple:

  • A 35% retainer reserves your date and lets us start onboarding you

  • The final balance is due two weeks before your wedding

  • Payment plans are available if you need one

We send a friendly reminder before the balance is due. Collecting payment ahead of time is standard across the industry, and it means we're never chasing you for money on your wedding day. That would be tacky, and it doesn't align with who we are.

Can a Day of Coordinator Save You Money?

Yes, a good one can. First, a quick distinction: a wedding planner books and sources your vendors. A day of coordinator comes in to execute the plan, which includes reviewing your vendor contracts.

When we review contracts, we look for clear policies on overtime, arrival and departure times, and performance. That knowledge has helped couples in a few ways.

Disputing Non Performance

When a vendor doesn't deliver what they promised, we can point it out and even advocate for the couple. We've done this for a florist who didn't deliver what was contracted, and for a DJ who sent a substitute who underperformed. This isn't standard, but it's something our team is willing to do when it matters.

Catching Overcharges

One couple told us their venue was charging a $25 per person cake cutting fee. The typical range we see is closer to $5 to $10 per person. We let them know that was well beyond industry standard and encouraged them to revisit it with the venue. They didn't get it all the way down, but they did see a reduction. For a couple already spending so much, every win counts.

Putting the Cost in Perspective

Our average couple spends about $60,000 on their wedding. That might include $20,000 on the venue and food and $8,000 on a photographer, plus videography, content creators, hair and makeup, transportation, and every extra in between.

A $2,499 coordinator is likely about what you're spending on your DJ alone. And that coordinator is the person making sure every other dollar you've spent actually shows up the way you planned.

How to Compare Coordinator Quotes

When you're looking at quotes side by side, look past the price and ask yourself:

  • Which one can you picture being there on your wedding day?

  • Which one did you trust?

  • Which one do you believe will protect your vision?

Then ask questions that reveal real experience:

  • Hypotheticals. How would you handle it if this specific thing went wrong?

  • Experience. How long have you been doing this, and how many weddings have you coordinated?

  • What makes your wedding unique. Ask how they'd handle your specific traditions, religious elements, or anything else particular to your day.

  • Reviews. Read what past couples say. Some reviews online can be fake, but you'll recognize the truth when you read it.

Ultimately, you want someone you feel completely confident will deliver on your wedding day.

The Bottom Line on Day of Coordinator Cost

I want couples to shift their thinking from price to value. What do you value most about your wedding day, and how will this person protect it?

A coordinator is a premium service, and not everyone can afford one. But if you can, think of it this way: this person handles what would otherwise fall on you, your friends, or your family, and they have the potential to save you money and all the headaches.

You're spending so much on your wedding day. Don't leave the execution to chance.
